Bulk Media Upload
Uploading product images one product at a time, or via Import/Export, doesn't scale once you are dealing with hundreds of SKUs. Bulk Media Upload lets you drop an entire batch of image files at once. AI automatically reads the filenames, groups them by product, and matches each group to the right SKU on your catalog, saving hours of manual work. You review the groupings, then push everything in a single go.

Before You Begin
- Make sure the SKUs you are uploading images for already exist in your catalog; matching depends on it.
- AI matches images to SKUs based on the filename (for example, a file named with the SKU ID in it). Keep your image filenames consistent with your SKU IDs for the best match rate.
- Bulk Media Upload currently supports images only.
- This is a batch tool for uploading many images at once. To add or replace a single image on one product, use the product's individual edit page instead.
A. Upload Your Files
- Go to Product Tools → Bulk Media Upload and start a new batch.

- Click New Upload.

- Drag and drop your image files, or click to browse and select them.

- The system will start analyzing your images; checking each image name for a matching SKU ID that already exists on the platform.
- Click Upload and Process.

B. AI Processing
Once you click Upload and Process, your files upload and the AI agent analyzes the filenames to group them by product and match each group to a catalog SKU.
- For very large batches, processing happens in chunks with a progress indicator, and automatically retries if it times out.
- The AI only reads filenames. It doesn't need to see the images themselves to group them.

B. Replace vs. Append
Once processing is done, choose how the new images should apply to each SKU:
- Replace: Deletes all existing images on that SKU and uploads the new ones in their place.
- Append: Keeps the SKU's existing images and adds the new ones alongside them.

Note: Choose carefully. Replace permanently removes the current images on that SKU. If you just want to add more photos without losing what's already there, use Append.
C. Review the SKU Groups
Once processing is done, your images are organized into groups by SKU.
- Each group is labeled with the SKU ID it matched to, along with the images the AI matched to it based on the filename.
- Any images that didn't match a SKU are shown separately (Unmatched or Unrecognized). You can assign these manually or delete them (see Section E).
- Review each group to make sure the images are correctly matched before moving forward.
» Groups appear in three categories:
- Matched: The AI found a SKU in your catalog for this group.
- Unmatched: The filename looks like a SKU but wasn't found in your catalog. You can assign a product manually.
- Unrecognized: No SKU pattern was detected at all. These SKUs will be skipped unless you assign them to a product. You can assign these to a SKU manually or purge them.

D. Add Images or Create a New SKU Group
If you notice images that should have been included but weren't selected originally, you don't need to start over.
» Add Images to an Existing Group
- Open the group.

- Click Add Image.

- Select the additional images and upload them into that group.

» Create a New SKU Group
- Click New SKU Group.

- Search for the SKU or select the one you want to add to the group.

- Click Assign to upload the images directly into that group.

E. Fix Unmatched Images / Groups
If a group is mapped to the wrong SKU, or an image doesn't belong where it landed, you have a few options. Use these actions to clean up any mismatches before you submit.
» Delete the Group: Removes the Entire SKU Group
- Click on the Delete Icon to delete the entire SKU group.

» Remove the Image from the Group: Takes it Out without Deleting it Entirely
- Open the group, click on the three dot menu, and select Remove from Group to remove the SKU from the batch. Note: This file will be removed from the batch. This can't be undone.

» Delete the Image: Removes it completely.
- Open the group, click on the three dot menu, and select Delete to remove the SKU from the group. Note: This file will be permanently deleted and purged. This can't be undone.

» Assign the Image(s) to a Group
1. From Unrecognized Group
- Click Assign.

- Search for the SKU or select the one you want to add the image to.

- Click Assign to upload the images directly into that group.

2. From Unmatched Group
- Open the group.

- Click Assign Product.

- Search for the SKU or select the one you want to add the image to.

- Click Assign to upload the images directly into that group.

» Change Product (Reassign the Image to a New Group)
- Click Change Product to reassign the image(s) to a new group.

- Search for the SKU or select the one you want to add the image to.

- Click Assign to upload the images directly into that group.

F. Mark as Reviewed
- Once you have made all the changes, mark the group(s) as Reviewed before submitting the batch.

Note: This step is optional. You can submit the batch without marking groups as Reviewed.
G. Submit Your Batch
- Once you have reviewed all groups and chosen Replace or Append, click Submit.

- Confirm the action.
- All images will be uploaded to the respective SKUs as per your selections.

- The screen shows a flat results table of what was uploaded and where each image landed.

Note: If you exit a batch midway and click back, the batch is saved as In Review with no data lost. You can return to it later and pick up where you left off.
H. Manage In-Progress Batches
You don't have to finish reviewing a batch in one sitting. If you step away partway through, your batch is saved so you can pick it back up later from the Bulk Update section without losing your progress.
» To Manage In-Progress Batches;
- Go to Product Tools → Bulk Media Upload.
- You will see Upload History; a list of completed and in-progress batches.

- Here you can check the status of each batch — Completed or In Review.

- If you exit a batch midway and click back, the batch is saved as 'In Review' with no data lost. You can return to it later and pick up where you left off.

- Click Resume to continue with that batch.

FAQs
1. Why weren't my images matched to a SKU, or why did they match the wrong one?
A. The AI matches images to SKUs by reading the image filename and checking it against SKU IDs in your catalog. If the filename doesn't clearly contain a recognizable SKU ID, or the SKU isn't in your catalog yet, the image won't be matched. You can assign it manually using New SKU Group / Add Image, or delete it if it's not needed.
2. I forgot to include some images in my upload. Do I have to start over?
A. No. You can add more images to an existing group using Add Image, or create a new group for a SKU using New SKU Group — without redoing the whole batch.
3. A group got mapped to the wrong SKU, or has the wrong images in it. How do I fix it?
A. You can delete the group entirely, remove a specific image from the group, reassign an image to a different group, or delete the image altogether. Re-check the group before submitting.
4. What's the difference between Replace and Append?
A. Replace deletes all existing images on a SKU and uploads the new ones in their place. Append keeps the SKU's existing images and adds the new ones alongside them. Choose Replace only if you intend to remove what's currently there. It can't be undone once submitted.
5. Can two groups be assigned to the same SKU?
A. No. Each SKU can only be assigned to one group in a batch, so you won't end up splitting one SKU's images across two groups by mistake.
6. Can I upload videos with Bulk Media Upload?
A. Not currently. Bulk Media Upload supports images only.
7. Can I use this instead of Import/Export for images?
A. Yes. Bulk Media Upload replaces the need to add images product-by-product or through Import/Export when uploading images in bulk.
