Create and Manage Quotes

Quotes let you present a formal pricing proposal to a buyer before committing to an order. Use them when a buyer needs time to review, requires internal approval, or when the deal involves negotiation. Once approved, a quote converts to a confirmed order in one click, no re-entry needed.


A. How to Create a Quote

Creating a quote follows the same flow as building an order. You start by adding products to your cart.

Step 1: Select the Customer

Tap the customer selector at the top of the screen, search by name or account number, and select the customer. Their price list, payment terms, billing address, and shipping address load automatically.order flow 1order flow 2

Step 2: Add Products to Your Cart

With the customer selected, add products to your cart.

  • From the Product Listing Page (PLP): Browse, search, or filter by category or collection. Click Add to Cart, then set the quantity using the + icon.create and manage quote 3
  • From the Product Detail Page (PDP): Open a product, select variants if applicable, click Add to Cart, and adjust the quantity.order flow 6order flow 7

Please continue adding products until the cart shows everything the buyer needs.

Step 3: Review Your Cart

Before creating the quote, verify the following:

  • Product names, SKUs, quantities, and pricing are correct
  • Customer-specific pricing has been applied
  • Line-item discounts have been applied where needed
  • Line-item notes have been added for any special instructions
  • Line totals and order total look correct

Click Create Quote.

Step 5: Fill in Quote Details

On the draft quote page, fill in the following before submitting:Create and manage 8

Field Description
Order Tag Optional label to categorize the quote:  Open, Closed, or Pending
Cart Could you show the products added? Click Edit to go back and modify the cart
Customer Details Buyer's contact information
Billing Address Where the invoice gets sent
Shipping Address Where the order will be delivered
PO Number Buyer's purchase order reference, if provided
Shipping Method Carrier selection
Notes Order-level instructions or internal comments
Order Summary Breakdown of cart total, shipping, tax, and discount

Step 6: Submit the Quote

Click Submit Quote. You can send the quote directly to your customer by entering their email address. The quote will appear in the Quotes tab under the Sales page.

Note: WizOrder and WizShop forms save your entries automatically, just fill in the fields and move on; no manual saving needed. 


B. When to Use a Quote vs. a Direct Order

Use a quote when:

  • The buyer needs time to review pricing with their team or manager
  • The buyer's company requires internal sign-off above a certain order value
  • You are presenting a pricing proposal during a meeting or call
  • The deal involves negotiation,  quantities, products, or pricing that may change
  • The buyer is still finalizing their product mix or quantities

Skip the quote and go straight to an order when:

  • The buyer is ready to purchase immediately, common at trade shows
  • It is a repeat order from an established customer
  • The buyer has already approved the pricing

C. Understanding the Difference: Open Cart, Draft Quote, and Draft Order

These three terms describe different stages in the sales process.

D. Save for Later

If you need to step away while building a quote or order, you have two options:

  • Keep the cart open: Your cart stays in the cart tray. Switch between multiple carts using the cart dropdown.
  • Save as Draft: Click Save as Draft to save everything to the Drafts tab. Useful when you want the work visible to your team or when you want to clear your cart tray.

Neither option creates a confirmed order or syncs anything to your ERP. Your work is preserved until you are ready.


E. How to Convert a Quote to an Order

When the buyer gives the go-ahead:

  1. Go to the Sales page and open the Quotes tab. Search by customer name or quote number, or use filters to find the quote.Create and manage 11
  2. Review the details,  products, quantities, pricing, and terms. Click Edit Quote if any last-minute changes are needed.Create and manage 13
  3. Click Convert to Order. Review the order draft, then click Submit Order.Create and manage 14

Once submitted:

  • All products, quantities, pricing, discounts, and customer details transfer automatically; nothing needs to be re-entered
  • The quote status updates to Converted to Order
  • A new confirmed order appears in the Orders tab with a unique Order ID
  • The order syncs to your ERP for fulfillment and invoicing
  • An order confirmation email is sent to the customer
  • The original quote and the new order remain linked; you can always trace an order back to the quote it came from
