Files and Asset Management
The Files section in WizOrder is a central library where admins can upload and organize sales documents, price sheets, line sheets, product videos, and marketing assets, and control which reps can access them. This article explains how to access Files on mobile and web.

Before You Begin
- Sales representatives must have access to WizOrder to view files
- Only administrators can upload files and manage folder permissions
- Administrators control which files and folders each sales representative can see and access
A. Files can Include
- PDFs: Line sheets, price sheets, and catalogs
- Videos: Product demos and installation walkthroughs
- Images: Marketing creatives and banners
- Other Supporting sales documents
The Files section supports folder-based organization, making it easy to keep assets structured and accessible. Admins control which files and folders sales reps can see and access.
B. How to Access the Files Section
- On the Mobile App: Tap More at the bottom navigation and select Files

- On the Web Portal: Click Files from the left navigation sidebar

Tip: To upload a file, click Upload at the top of the Files page in WizOrder
C. Organize Files Into Folders
Folder-based organization keeps the Files section easy to navigate for your sales team.
- On the Files page, click New Folder.

- Give the folder a clear, descriptive name.

- Upload or move files into the folder.

Note: Admins can control which files and folders are visible to sales representatives. Files not assigned to a representative's access level will not appear in their view.
D. Manage User Access for Files & Folder
Admins control which files and folders each sales reps can see. By default, a sales reps cannot see files unless access has been explicitly granted through user management. However, these access can be given from the files section on WizOrder (web portal). Follow the below steps to enable or disable access
Manage Access to Individual Files
- Click the three-dot menu on the file card and select User Access.

- Review the Manage Access panel, it shows all users with their Name, Role, and Email
- In the Access column, check the box next to a sales representative to grant access, uncheck it to remove access.

- To update access for all users at once, check the box at the top of the Access column.
- Then click Grant Access.

Note: Sales representatives with a checked box can see and open the file in their Files section. Those with an unchecked box will not see the file at all.
Manage access for a folder:
- Click the folder you want to manage.
- Click the three-dot menu and select User Access.

- In the Access column, check or uncheck the box next to each sales representative to grant or remove access to the folder and its contents.

Manage access for multiple files at once:
- Use the checkboxes to select all the files you want to update.

- Click User Access icon from the bulk actions toolbar.

- Check or uncheck the box next to each sales representative to grant or remove access.

Note: You can view files on the mobile app, but to manage access you will need to log in to the web portal as an Admin.
Manage Your Files
Once a file is uploaded, you can manage it using the three-dot menu (⋮) next to each file. This gives you quick access to options like sharing, renaming, downloading, and more.

- Download: Save the file to your device.
- User Access: Control who can view or access the file.
- Rename: Change the name of the file.
- Delete: Permanently remove the file.
- Mail: Send the file via email.
- Export: Export the file outside the platform.
- Preview: View the file without downloading it.
- Copy Link: Copy a shareable link to the file.
Note: The three-dot menu on folders, and the bulk action option when selecting multiple files, offer the same set of actions described above.

A. The Files section supports PNG, JPEG, MP4, and PDF formats, along with other common document and media file types.
