Files can Include - **PDFs:** Line sheets, price sheets, and presentations - **Videos:** Product demos and installation walkthroughs - **Images:** Marketing creatives and banners - Other Supporting sales documents The Files section supports folder-based organization, making it easy to keep assets structured and accessible. Admins control which files and folders sales reps can see and access. --- ### **B. Organize it by creating or moving it into a folder using [**New Folder**](https://knowledge.wizcommerce.com/files-and-asset-management#section_c) 8. Once uploaded, grant sales rep access via the [*three-dot menu → **User Access***](https://knowledge.wizcommerce.com/files-and-asset-management#section-d), since files aren't visible to reps by default **Note:** Only admins can upload files, sales reps don't have upload access unless it's explicitly granted through role permissions settings. --- ### C. Organize Files into Folders Folder-based organization keeps the Files section easy to navigate for your sales team. 1. Files not assigned to a representative's access level will not appear in their view. --- ### E. Manage Files & Folders Admins control which files and folders each sales reps can see. By default, a sales reps cannot see files unless access has been explicitly granted through user management. However, these access can be given from the files section on *WizOrder* (web portal). Follow the below steps to enable or disable access ###### **» Manage Access to Individual Files** 1. Review the ***Manage Access*** panel, it shows all users with their Name, Role, and Email 3. To update access for all users at once, check the box at the top of the ***Access*** column. 5. Those with an unchecked box will not see the file at all. - You can share a public url of your media files. Go to three dot menu \> Copy link ###### **» Manage Access for a Folder** 1. Click the folder you want to manage. 2. This gives you quick access to options like sharing, renaming, downloading, and more. **The following options are available in the menu:** 1. **Download:** Save a copy of the file to your device. 2. **User Access:** Manage who can view or access the file. 3. **Rename:** Give the file a new name. 4. **Delete:** Permanently remove the file. This action cannot be undone. 5. **Mail:** Share the file with others by email. 6. **Export:** [Generate a copy of the file for external use](https://knowledge.wizcommerce.com/files-and-asset-management#section-f). 7. **Preview:** Open and view the file without downloading it. 8. **Copy Link:** [Copy a public link](https://knowledge.wizcommerce.com/files-and-asset-management#public-link) to share the file with anyone. ![threedotmenu](https://knowledge.wizcommerce.com/hs-fs/hubfs/threedotmenu.png?width=670&height=381&name=threedotmenu.png) **Note**: The three-dot menu on folders, and the bulk action option when selecting multiple files, offer the same set of actions described above. --- ### F. Export Files and Folders You can export individual files, multiple files at once, or entire folders directly from the Files section. Exports are prepared in the background, and you can download them from Notifications once they are ready. ###### **» Export Files** 1. Go to **Files**. 2. Go to **Files**. 2. Go to **Files**. 2. Can sales representatives upload files to the Files section?** **A.**  No. By default, sales representatives cannot upload files. Only admins can upload and manage files in the Files section. If a sales representative needs upload access, an administrator must grant it from the role permissions settings. **2\. Can I share a file from the Files section directly with a customer?**   **A.** Yes. You can share a file directly via email from the Files section, or download it first and share it later through your preferred channel. **3\. What file types can be uploaded to the Files section?** **A.**  The Files section supports PNG, JPEG, MP4, and PDF formats, along with other common document and media file types. **4. How do I get a public link to a file?** **A.** Click the three-dot menu (⋮) next to the file and click **Copy Link** to get a public link.
