Inventory Count

Inventory Count lets you capture a snapshot of the products and quantities on hand at a customer's store, right from WizOrder. This article covers how to create, submit, and manage counts on web and mobile.

Before You Begin

Inventory Count needs to be turned on for your account, and you need the right permission to use it:

  • Admin needs to have the Inventory Count module enabled for the organization.
  • Reps need the Inventory Count permission assigned to them. This controls whether reps can access the feature in the web sidebar and the mobile app.
  • Which counts you see: by default, reps only see the counts they created. If the admin has given view-all access, reps will see every count for the organization.
  • If you don't see Inventory Count in your app, reach out to your admin or our support team to have it enabled.

A. What is Inventory Count? 

Inventory Count lets a sales rep record the products and quantities on hand at a customer's store. You name the count, select the customer, add products by scanning barcodes or searching the catalog, set the counted quantity for each item, and submit. Once submitted, the count becomes a saved record your team can view and export at any time.

Inventory Count is available on both web portal and mobile app. The mobile app adds barcode scanning (camera or a connected hardware scanner).

A count only ever has two statuses:

Status Meaning
Draft A count still being worked on. Save it and come back later.
Confirmed A submitted count. It can still be reopened and edited. It stays Confirmed.

B. Create and Submit the Count 

The flow is same on both web portal and mobile app, with slightly different wording.

» Mobile App 

  1. Go to More → Inventory Count.

  6. To add products, either Search and Add Products or Scan barcode.

  10. Click the three dot menu if you want to delete the entry (product).

  11. Click the three-dot menu to Save for Later or Delete the count. Save for Later keeps the count as a Draft.

    • Export Sheet to download the count.
    • Recount to perform a new count on the same customer.
    • Edit to update the count.
    • Delete to remove the count.

    • Missing SKUs: To check products that were in the previous count but are missing in the current count.
    • Newly Added SKUs: To check products added in the current count that were not part of the previous count.
    • Count Mismatch: To check the quantity difference between the previous and current count.

  1. Go to Manage → Inventory Count.

C. View, Edit, and Export Counts 

Viewing a Confirmed count shows a read-only summary: the count name and status, customer and contact details, billing/shipping addresses, other details (if any), the full product table, and a summary (total products and total quantity). From here you can Edit or Export.

The Inventory Count table shows every count you have access to.

  • Web shows Name, Customer, Status, Products, Total quantity, and who created or last updated the count, with column filtering, sorting, and saved views. Use Edit (for drafts), View (for confirmed counts), or Export from the row actions.
  • Mobile shows the same information in a simplified row such as name, status, customer, and a SKU/unit summary. Tap a row to open it: drafts open for editing, confirmed counts open read-only.

Exporting a count produces an Excel file, and is available from the list, the count header (once saved), and the confirmed view.

  • Web: the export runs in the background, and the file is delivered through your usual download/notification flow.
  • Mobile: if you are online, the app fetches the generated file. If you are offline, it builds a local spreadsheet with Name, SKU, and Quantity, ready to sync once you're back online.

D. Inventory Count Access (Admin) 

Admin can manage the inventory count visibility and access for sales reps.

  1. Go to Settings → User Management.

  3. Set the Inventory Count Access
    • Created by Self: The user can only access counts created by themselves.
    • All Inventory Count: The user can access all inventory counts, including those created by others.
    • Select Users: The user can access inventory counts created by selected users only.

FAQs

1. Do I need internet access to use Inventory Count?

A. Yes, internet access is needed to use Inventory Count.

2. What happens if I scan a barcode that matches more than one product?

A. You will see a message asking you to add the item manually instead. This can happen if more than one product in your catalog shares the same barcode or a similar identifier.

3. What's the difference between "Save for later" and "Submit"?

A. "Save for later" keeps the count as a Draft you can return to and edit. "Submit" checks that required fields and at least one product are filled in, then finalizes the count as Confirmed. You can still reopen and edit a Confirmed count; saving it again keeps it Confirmed.

4. Can I add the same product to a count twice?

A. Adding a product that's already on the list increases its quantity rather than creating a second row for it.
