A. Understanding the Difference

1. Quote

A quote is a formal price offer sent to a buyer for review and approval before any commitment is made.  It is not a purchase, it does not reserve inventory or trigger fulfillment in your ERP.

Quotes are commonly used in wholesale when:

  • Pricing needs sign-off before the buyer commits
  • A buyer needs time to confirm quantities
  • An order is large enough to warrant a formal proposal stage

2. Order

An order is a confirmed commitment to purchase. Placing an order finalizes the transaction, reserves inventory based on your settings, and initiates fulfillment in your ERP. Once an order is confirmed, it moves into your operational workflow.

1. Does creating a quote reserve inventory?

A. Yes. A quote is a formal price offer, it does reserve inventory or, however, it will not trigger any fulfillment activity in your ERP. ERP sync happens only once the quote is converted into a confirmed order.

3. Can a quote be converted directly into an order?

4. When should a rep use a quote instead of placing an order directly?

A. Use a quote when pricing requires buyer approval before commitment, when the buyer needs time to finalize quantities, or when the order size warrants a formal proposal stage. For straightforward reorders or smaller purchases where the buyer is ready to commit, placing an order directly is the faster path.
