Managing Inventory
WizCommerce gives you three ways to manage inventory: automatic sync through your ERP integration, bulk updates using Import/Export for large-scale changes across multiple products, and the Product Management page for quick edits to individual products.
Note: Both Import/Export and Product Management are available on the web portal and are accessible only to admins.
A. Managing Inventory Using Import/Export
Import/Export lets you update inventory data in bulk, adjusting available quantities, backorder settings, stock thresholds, and on-order details for multiple products at once.
This is useful when you need to make large-scale inventory updates without editing each product individually in the platform.
Instead of making changes one by one, you export your inventory data as an Excel file, make your edits, and import it back. The platform automatically updates all changed records.
Note: Import/Export is available on the web portal and is accessible only to admins.
Step 1: Export the File

Access Import/Export:

Go to the Manage button in the left sidebar of the Sales Rep App (WizOrder) and click Import/Export

Click the Manage icon in the left sidebar to open the Import/Export section

Select Inventory from the available modules

Click Export to download the inventory data file

Review the Exported File and Make Edits

The download file can be accessed through the notification bar.

When you open the Excel file, you will find three pages: Instructions, Sample, and Data Sheet. If you are performing import/export for the first time, we recommend reading the Instructions page and reviewing the Sample page.

Open the exported file and navigate to the Inventory sheet to make your changes.

Here is what each column in the Inventory sheet represents.

Track Inventory?: Indicates whether inventory is being tracked for this product (Yes/No)

Available: The current number of units available for ordering

Backorder Allowed: Indicates whether buyers can place orders when stock runs out (Yes/No)

Backorder Limit: The maximum number of units that can be ordered on backorder

Out of Stock Threshold: The inventory level at which the product is flagged as out of stock

Notes: Any internal notes or additional information attached to the product

On Order Quantity: The number of units currently on order from the supplier but not yet received

On Order Date: The expected date the on-order units will be received

In this example, we will update the Available quantity to 999 and reduce the Backorder Limit to 100 for the first three products. You can apply the same approach to update any other column as needed.

Once you're done updating all desired fields, save the Excel sheet and import it to the Sales Rep App (WizOrder). To import the saved Excel sheet, navigate to import/export, select Inventory, and then Import.

Import the Updated File

For the final steps, follow the workflow video to complete the import. (Please note that out of all Excel pages, only the Inventory page needs to be imported.)

You may check the import progress in the notification bar. To access, click on the bell icon.

To confirm the changes, check the inventory status of the updated products. For example, the available quantity for SKU ID Acrylic-002 should now reflect the updated value of 999.

B. Managing Inventory Using Product Management
Use the Product Management page in the Sales Rep App (WizOrder) web portal to update inventory details for individual products.
Note: This is accessible only to admins.
Step 1: Locate the Product

Navigate to the Product Management tab and find the product you want to update.

Step 2: Edit Inventory Details

Click the product to open the product management page.

Select the Inventory tab from the top navigation

Click Edit.

Update the relevant fields as needed. For example, update the available quantity to 999 and reduce the backorder limit to 100.

Save your changes.
Note: Use this method when updating inventory for a single product. For bulk updates across multiple products, use Import/Export instead.
Managing Inventory on the Online Storefront (WizShop)
To make inventory visible on the Online storefront (WizShop), enable the WizShop channel in Channel Settings on the product management page. This controls whether the product and its stock status appear on the online storefront.

Once saved, the product will reflect the updated inventory settings across both channels.
